Keeping a schedule can be done via a dry-wipe board, post-it notes, planners, diaries, calendars or via digital scheduling software.

All of these are ways to schedule in staff, events and resources depending on what is happening in your business. But why should you schedule and how does it benefit your business? Read on to find out.

Manage employee work schedules


Organising staff schedules ahead of times can keep a business running efficiently because all work is covered and completed in time, for example, an events company preparing for a large event will have deadlines to meet.

Moreover, scheduling in staff with plenty of notice will give others including managers time to check they are available too. Also, staff scheduling in advance can give that predictability to employees, creating less work-family conflict.

It gives more room for flexibility when all staff shifts are scheduled in for the next few weeks or months so that when unexpected events happen you will be able to cover that work with other staff or move it to another time.

Overall, offering flexible working can increase employee engagement.


Enhance productivity in your business


A study by Harvard Business Review showed that stores were able to achieve 7% more sales when they had predictable staff schedules versus those that had scheduling on a day-to-day basis.

Those stores that had ‘stable scheduling’ increased productivity by 5%, where the industry average is 2.5%. This could be due to having the right amount of staff at peak sales times. Using a digital scheduling system for staff and resources allows you to reserve time to deal with unexpected situations.

Prioritising tasks by looking at the medium- and long-term can help to get more done and reduce stress. Using a digital scheduling tool, you are able to track and manage changes to the schedule in the real-time even when you are not in the office on your phone, tablet or laptop. This helps to improve communication within your business and with clients.


Encourage collaboration


Quite often one of the difficulties when working within a team, is making sure that everyone can work on a project to the set deadlines. Having multiple staff working on one project completing their own part leads to time lapses between the next person in the line completing their section. By the time the project is back with the manager they need time to recap details about the project.

Using digital scheduling to plan in time for each staff member to work on their section of the project reduces time taken to meet the deadline.
